Shared AI workspace — the fine print

Updates reach people, but not mid-chat

Add a file or refine the instructions and everyone's next chat picks it up — but only someone with edit access can make that change. [confirmed]

A chat already open won't notice a mid-conversation file swap; start a fresh chat to get the latest. [estimate]

There's a file cap per project

On ChatGPT the cap scales with the owner's plan — roughly Free ~5 files, Plus/Go ~25, Pro ~40 in a shared project. [confirmed]

On Claude big knowledge bases switch to a retrieval mode rather than hard-blocking, so there's no clean per-project file number; the exact limit isn't published. [unclear]

The paid-seat gate

The share-the-whole-workspace path needs a paid team seat: Claude Team/Enterprise, or ChatGPT Business/Enterprise/Edu. On Claude, project sharing exists only on those plans. [confirmed]

Outsiders can't be pulled in. They'd have to be added to the workspace first — an admin does that — and then invited. The recipient pays nothing extra beyond their own workspace seat; the project itself adds no cost. [confirmed]

Personal-plan sharing — the exception

ChatGPT's per-person project sharing now reaches personal plans too (since 2025-10-22). But the workspace-link, share-with-the-whole-org path is still the Business/Enterprise/Edu one. [confirmed]

Two access levels, get them right

View / chat access lets someone use the space; edit access also changes the files, instructions, and invites. The provider-specific button names live in the tutorial. [confirmed]

Handing data to the host

Two companies host these: Anthropic (Claude) and OpenAI (ChatGPT). On the paid Team/Enterprise/Business plans these live on, neither trains on your data by default — the files and instructions you upload stay inside the workspace. → Can you trust the company? [confirmed]
